Program Development Assistant

Salzburg Global Seminar seeks to recruit a Program Development Assistant to the Salzburg-based Vice President and Chief Program Officer (VPCPO) and Vice President, Development & Operations (VPDO), to manage their business schedules and coordinate with staff on a wide variety of administrative tasks, based at our headquarters at Schloss Leopoldskron, Salzburg, Austria.

Position description:

Salzburg Global Seminar is looking for a highly-organized quick learner with an international outlook and experience to serve as the Program Development Assistant. This position reports directly to the VPCPO and VPDO and plays a crucial role in helping the VPCPO and VPDO maintain their extremely busy schedules and manage relationships with program and development contacts and partners. S/he will also support our team of Program Directors as needed. A result-oriented multi-tasker with strong communications skills, s/he facilitates effective planning and communication between Salzburg's international offices, internal management team, and external partners.

Specific responsibilities include:

  • Schedule on- and off-site appointments, organize travel plans and maintain relevant database entries.
  • Support internal information flow.
  • Take and disseminate meeting notes as requested by VPCPO or VPDO.
  • Schedule and supply logistical support for weekly development pipeline meetings, regular team meetings, program retreats and training days in coordination with the VPCPO and VPDO.
  • Attend to phone calls and respond to emails from contacts.
  • Meet with VPCPO daily to review calendar, open projects and deadlines. ยท
  • Enter / update notes and general information in Salzburg Global Seminar's database.
  • Prepare monthly time sheets and travel expense reports for VPCPO, VPDO, and other select senior staff in accordance with internal procedures.
  • Support the preparation of background papers, documents and presentations.
  • Conduct research as required.
  • Supply operational support to Program Directors as needed.

Skills  and qualifications:

  • Outgoing enthusiastic personality with excellent communication and organizational skills and a commitment to working collaboratively as part of a team.
  • Ability to work under pressure, make decisions and meet deadlines.
  • Flexibility and creative problem-solving.
  • Fluency in both spoken and written English, with native or fluent German a strong advantage.
  • Rigorous attention to detail and personable telephone skills.
  • Extensive experience in using Excel, Word and database management.
  • Total respect for confidentiality when dealing with senior management.

Compensation:

This position is an entry-level position and will receive a base salary, full medical and retirement benefits, and five weeks annual vacation. Salzburg Global is an equal opportunity employer.
